MS – Word is a word processing software which allows us to create letters, news letters, edit them and print them after formatting it as per our requirements.

Starting MS – Word –

            Start -> Programs -> MS Office -> MS Word

                                    OR

            Start -> Run -> write”winword” and press enter.

 

Saving a word file with password –

            File – Save As – Tools – Security Option – Type password in the ”Enter password” box and click OK – Reenter password – click on Save

 

Font Designs –

  1. Font Name – the default font name is Times New Roman.
  2. Font Size – the default font size is 10 pixels.
  3. Font Style – there are 4 font styles, Bold, Italics, Underline, and Regular. Regular is the default style.
  4. Alignment – there are three alignments – left, right and center. The default is Left.
  5. Color – There are many colors to choose from , but the default color is Automatic , i.e. Black.

 

Animation Effect –

  1. Select ant portion of the text
  2. Format – Font – [Text Effect (xp version) / Animation (Windows 07)] – Select any animation effect – OK

 

Bullet Styles in MS – Word –

            For picture bullets –

                        Select the text – Format – Bullets & Numberings – Select a style

            For Sub Bullet Design –

            Select the text – Format – Bullets & Numberings – Outline Number Tab – Select any bullet design – Customize – Select design for each level of bullet – OK

 

For displaying the sub-bullet, select the line where you want to display the sub-bullet and press Tab key or click on Increase Indent button on toolbar.

 

Find & Replace –

            The find tab will find for the user the exact text which is mentioned in the box. Replace will replace the text in the find box with the some other text. The shortcut key for Find and Replace is F5.

 

Changing Case in MS – Word –

            The short cut for changing case is Shift + F3.

Sentence Case – Each sentence starts with a capital letter.

Title Case – Each Word Begins With Capital Letter.

Toggle Case – Opposite of the current case.

Lower Case – the entire sentence is written in lower case.

 

Auto Correct –

            It is a standby feature of MS – Word that corrects our typos automatically and also enables us to type short forms which auto correct replaces with full forms.

Tools – Auto Correct – In replace box type the short form and in with box type the full form – click on Add – Ok

 

Drop Cap –

            It is away of emphasizing the text by making the first letter of the text  run to 2-3 lines.

 

Steps to create Drop Cap

  1. Select the first letter of any multi line text
  2. Click on Format menu – Select Drop Cap – Select Dropped Box icon under the position option – Select no. of lines (by default 3 lines) – Click on OK

Auto Text –

  1. Type text that you want to store in memory (multi – line text).
  2. Select multi – line text.
  3. Insert – Auto text – Auto Text
  4. Type a name in the “Enter AutoText Entries Here” box & click on Add button (Memory name).

 

To enter the auto text in the document type Memory name and press enter or F3.

 

Default Size of Margins in a Word Document –

            Top – 1”

            Bottom – 1”

            Left – 1.25”

            Right – 1.25”

 

The important views in MS – Word –

            There are four views in MS – Word –

  1. Normal View
  2. Print Layout
  3. Outline View
  4. Web Layout

 

Header & Footer –

            The header appears at the top of the page and footer appears at the bottom of each page. Theses are displayed in the print layout view.

Page Break –

  1. Place the cursor before the text which you want to print in the next page
  2. Insert – break – page break – Ok.

 

Bookmark –

            A bookmark is a location in our document or a selection of text that we define by a name for reference purpose. After we place the bookmark, we can return to the same location again by selecting the bookmark name that we used.

Inserting a bookmark –

  1. Select the line where you want to insert the bookmark
  2. Insert – Bookmark.

Type a bookmark name or location name and click on Add button.
